Job Summary and Responsibilities/Duties

Initial Salary Placement: $42,117 - $48,825

Enrollment Services at Mt. Hood Community College is a mission critical unit. The Student Support Specialist position in Enrollment Services is a member of the student HUB team.

Job Summary:

Performs a wide variety of duties in support of student services including online admissions, registration, cashiering, student records, advising, financial aid, and testing center processes. Assists the Student HUB team with the day-to-day functions including support for new, current, and restarting students in navigating the College's online services, evaluation of placement test scores, and dissemination of financial aid policies and procedures. Helps students make decisions that impact their educational goals.

Essential Duties:

* Provides excellent customer service, support, and guidance when assisting applicants, students, their parents, community members and College employees regarding student services process, financial aid programs, and general campus information in person, by telephone, email, and chat.
* Assists in preparing for and conducting individualized and group-based trainings for new, current, and restarting students on navigating MyMHCC and its online services.
* Applies placement testing guidelines for students to recommend class placement; explains college placement test scores and recommends retests as needed. Ensures that first-term plans are accurate with current catalog year's curriculum and provides information on prerequisites and program requirements; provides students with information related to academic and faculty advisement and career planning resources.
* Processes add/drop course registrations for students and conveys whether additional tuition is need or a refund is due.
* Processes cash payments, posts charges, issues change or refunds, and reconciles cash drawers daily.
* Reviews incoming student data for student record history, accuracy, and completion, and identifies improvements to streamline processes.
* Explains how to apply for financial aid and provides federal and MHCC-specific information to students and parents regarding financial aid processes and regulations; answers questions relating to financial assistance and maximum timeframe appeals.
* Prepares official and unofficial transcripts and enrollment verifications.
* Researches and resolves tuition and fee related discrepancies.
* Maintains highly confidential student and financial aid records and/or archives system.
* Assists with the opening and closing procedures of the HUB.

Additional Duties:

* Maintains current knowledge of federal and state regulations and financial aid policies and procedures.
* Performs special projects as needed.
* Attends regular team and student development meetings. Actively participate in discussions.
* May assist in tracking budget information, timesheets, attendance records and creating staff schedules.
* Performs all other related duties as assigned.

Minimum and Desired Qualifications

Minimum Qualifications:

* Associates Degree from an accredited institution
* Two (2) years of experience providing assistance and guidance in navigating complex procedures and regulations in a student services office or similar environment
* Excellent customer service skills, including successful experience working with diverse students and their families from educationally and economically disadvantaged backgrounds

At the College's discretion, additional qualifying education/experience may be substituted, year for year, for education/experience.

Desired Qualifications:

* Experience in a financial aid office
* Bilingual skills with fluency in English and Spanish, Slavic languages, Vietnamese, or other language that meets community needs

Knowledge, Skills, and Abilities:

* Knowledge of and the ability to apply the College's interpretation of FERPA.
* Ability to handle multiple tasks, priorities, and changing deadlines
* Experience with projects requiring significant attention to details
* Maintains a positive attitude and contributes to a collaborative and diverse team environment.
* Exceptional oral and written communication skills
* Demonstrated knowledge of office practices, procedures and equipment

Working Conditions and Important Information

Working Conditions:

Work is typically performed in a normal office environment while sitting at a computer terminal. Repetitive hand/wrist motion for data-entry and keyboarding functions. Work is sometimes performed in an emotional and stressful environment. Occasional night and weekend hours are required.


Initial salary placement will be based on years of relevant full-time equivalent experience at the sole discretion of the College, per the guidelines in the applicable Handbook or Collective Bargaining Agreement. Hired employees will not have an opportunity to update past experience or appeal initial placement after the time of hire.
