CCC is seeking an Enterprise Facilities Janitorial Manager to join our team!

Schedule: Monday - Friday 8.00am-4.30pm

The Janitorial Manager (JM) is responsible for overseeing the training, deployment, and performance of all janitorial staff employed within the Enterprise Facility organization (EFO) and throughout the Central City Concern (CCC) office and clinical facilities. The Janitorial Manager reports to the Enterprise Facilities Manager (EFM) and is an integral member of the Enterprise Facilities team. As a member of the EFO team, the JM is expected to collaborate with other teammates in the development, implementation, and quality management of key processes, policies, and procedures necessary to protect CCC's office and clinical portfolio. The JM is responsible for delivering all services defined in the Janitorial Service Level Agreement (JSLA), the RCP Janitorial Service Level (RCP JSAL) Agreement, and any other applicable Service Level Agreements (SLA).

RESPONSIBILITIES:

  • Responsible for overall success and operations of all site-based janitorial teams as defined by the SLA's.
  • Assist with developing departmental budgets and managing expenses in compliance with them.
  • Establish and achieve SMART (Specific Measurable Actionable Realistic Timely) goals to improve the quality and efficiency of the EFO and CCC office, clinical janitorial staff performance, and janitorial operations.
    Financial Responsibilities:
    • Assist with the preparation and distribution (once approved) of the annual janitorial budgets for all EFO and CCC office and clinical facilities.
    • Review and analyze all relevant financial documents (receipts, invoices, etc.) and prepare status reports as and when senior leadership requires.
    • Maintain control of janitorial expenses to ensure budgeted goals are met or exceeded.
    • Monitor procurement of janitorial inventory and equipment at all EFO and CCC office and clinical facilities and ensure cost control, including periodic re-pricing of regular supplies, materials, equipment, and 3 rd party services.
      Janitorial Program Responsibilities:
      • Ensure that the janitorial quality standards and specifications as per the approved janitorial standards and specifications are met at all EFO and CCC offices and clinical facilities.
      • Enforce the JSLA and RCP JSLA to ensure that agreed-upon services are delivered according to the standards defined in the agreements promptly to meet or exceed internal customer expectations.
      • Respond to all escalated customer service complaints in a timely and complete manner.
      • Recommend and, on approval from the EFM, execute corrective action plans to improve internal customer satisfaction when necessary.
      • Develop and implement janitorial cleaning schedules for daily, weekly, and monthly cleaning responsibilities.
      • Identify, develop and implement janitorial cleaning projects for hard and deep cleaning at all CCC locations.
        Project Responsibilities:
        • Develop recommendations for janitorial quality, service level, and methods of delivery improvement projects.
        • Collaborate with the project and quality management departments to initiate, execute, control, and close janitorial quality improvement projects.
        • Assist with documentation of lessons learned after EFM janitorial projects close.
        • Assist with the development of EFM janitorial project budgets as needed.
          Staffing Responsibilities:
          • Provide leadership, oversight, and supervision to all CCC site-based janitorial supervisors.
          • Work with Human Resources to improve employee performance and ensure staff discipline when necessary.
          • Ensure staff capacity meets minimum requirements at all CCC facilities.
          • Monitor employee compliance with mandatory training.
            Operational Responsibilities:
            • Prepare all reports and correspondence and handle complaints and/or problems timely and accurately.
            • Provide facility-level oversight in the absence of site-based janitorial supervisors.
            • Perform site inspections to monitor the quality of janitorial work performed by site-based staff.
            • Develop and improve program janitorial staff onboarding and development curriculums.
            • Coordinate with site-based janitorial supervisors, maintenance workers, shared agency resources, site-based senior program leadership, and outside vendors to maintain the condition of all properties.
            • Create a culture of continuous business improvement.
              Additional duties:
              • Assist with developing site-specific and enterprise-wide janitorial and facilities budgets, ensuring cost control. Attend all mandatory CCC training promptly.
              • Adhere to all state and federal privacy and security regulations applicable to the program and CCC policies and agreements regarding confidentiality, privacy, and security.

                SKILLS AND ABILITIES:

                • Proficient in Microsoft Office software (i.e., Excel, Word, PowerPoint, and Outlook)
                • Experience with standard office machines (Fax, photocopier, multi-function printers, postage machines, etc.)

                • Ability to consistently multitask, perform in a complex and challenging environment, and meet deadlines with minimal supervision.

                • Sufficient manual dexterity and physical ability to perform assigned tasks.
                • The ability to learn operations software like Yardi, Relias, SharePoint, and UltiPro.
                • Ability to learn and apply training and instruction.
                • Ability to interact successfully and courteously with various people, including those who may exhibit challenging behaviors.
                  Minimum qualifications:
                  • A high school diploma or GED is required.
                  • A minimum of three (3) years of experience as team lead or supervisor of janitorial employees is required.
                    • Must have five (5) years experience in the commercial and medical office janitorial industry.
                    • Experience in customer service-related management is required.
                      • Must possess excellent communication skills.
                        • Sufficient manual dexterity and physical ability to perform duties.
                        • Will be required to carry an agency cell phone for work use. A cell phone will be provided by Central City Concern.
                        • Must pass a pre-employment drug screen, TB test, and background check.
                        • If a recovering chemically dependent person must currently be clean and sober.
                        • Must possess a current driver's license, pass a DMV background check, and be designated an "acceptable" driver as outlined in Central City Concern's Fleet Safety Policy. Must pass an initial driver training within 60 days of being approved and continued recertification training.
                        • Must generally be able to walk, bend, stoop, kneel, squat, twist, reach, pull and lift heavy objects, and climb stairs with reasonable or no accommodation.
                        • Must adhere to the agency's non-discrimination policies.
                        • Must know bio-hazard and chemical safety protocols.
